Cancellation Policy

Cancellations made on or before Wednesday 1 November 2023 will be refunded, less 25% of the registration fee to cover administration costs. No refunds will be made after this date, however registration may be transferred to a substitute delegate. 

Cancellations must be submitted by email to aaee@watermarkevents.com.au.  If cancellation is not received in writing, the registration will not be cancelled, and a refund (if applicable) will not be processed.

Payment

Payment is required at time of registration by credit or debit card. Accepted credit/debit cards are Visa, MasterCard and AMEX. Credit card fees of 1.98% + 30c apply for Australian credit/debit cards and 3.5% + 30c for International credit/debit cards. 

Please note that transactions will appear on your statement as ‘Watermark Events’, our registration technology provider. 

Registration Confirmation

Your completed registration and successful payment will be automatically acknowledged via email with confirmation and tax invoice. If you do not receive an email within 10 minutes, please check your junk mail folder. If another copy is required, please email aaee@watermarkevents.com.au. Your registration will only be confirmed upon full payment of fees.

Insurance

Registration fees do not include insurance.  It is strongly recommended that attendees take out insurance covering cancellation fees for registration, travel and accommodation, as well as personal injury and loss or injury to property, including baggage. 

Neither the Conference Hosts nor the Conference Manager take any responsibility for any attendee failing to arrange their own insurance, and are in no way responsible for any claims concerning insurance. In the event of industrial disruptions or force majeure, the Conference Hosts and the Conference Manager accept no responsibility for losses incurred by attendees. 

Disclaimer
The conference reserves the right to cancel, modify or alter any aspect of the conference venue, schedule and delivery at their sole discretion and without notice. Neither the Conference Hosts nor the Conference Manager will accept any liability for any loss or inconvenience caused to any party due to such changes.
Privacy
The Conference Hosts, the Conference Manager and the registration technology provider comply with Australian privacy regulations and are committed to protect the right of the individual to privacy of their information.

Your personal information will not be sold to third parties. If you believe that any information we are holding on you is incorrect or incomplete, please email the Conference Manager who will correct the information. You may also withdraw your consent for use of your information by writing to the Conference Manager.

We require your information to provide you with information regarding the conference and to facilitate your participation in the conference. Information collected in respect of your proposed participation in any aspect of the conference will be used for:

Confirming your attendance and participation in the conference;

In the Attendee List published for the conference (if applicable);

Provided to organisers of future occurrences of this conference;

May be used to provide you with information of other relevant conferences in your area of interest.

The parties who will have access to your information are the Conference Hosts, the Conference Manager, and any future organisers of the conference.

By registering to participate in the conference you are giving your consent to the above, for the purposes of compliance. However, you may withdraw your consent at any time by notice in writing to the Conference Manager.

Code of Conduct

AAEE is committed to providing events that are safe and welcoming for all attendees, where all attendees are treated with respect and dignity and are free from discrimination and harassment. By registering to attend any AAEE event, including but not limited to, webinars, networking events, conference sessions, social events and all AAEE communication platforms, it is mandatory for all attendees to adhere to the Codes of Conducts outlined in the Engineers Australia General Regulations and Code of Ethics.

If anyone experiences or becomes aware of any violations, or potential violations of the above Code of Conduct, such instances should be reported to any AAEE Executive Committee member, AAEE event host, Conference Host or the Conference Manager. All reasonable precautions and endeavours will be used to protect the anonymity of persons reporting violations, or potential violations.

The AAEE Executive Committee, AAEE event hosts, Conference Hosts and Conference Managers, at their sole discretion, reserve the right to refuse entry to, or remove from the venue or virtual platform, at any time, any attendee not adhering to the above Code of Conduct or deemed to be causing, or potentially causing, a disturbance or exhibiting disruptive or inappropriate behaviour. Such removal does not constitute a right to a refund of any fees paid, or a refund of any travel and accommodation expenses incurred for travel to the conference. Not only will any offender forfeit their right to attend the conference, they will also forfeit their right to deliver an oral or poster presentation at the conference.
